Operations — Knowledge Base

Company knowledge in one place — not in the head of the person on leave.

31% of employees report having to restart a project or task because instructions weren't written down anywhere. Entexia Knowledge Base is a living internal wiki that stays current and accessible to everyone — regardless of who created it.

Company knowledge is often distributed across Word documents on shared drives, outdated email threads, and the minds of experienced employees. When such a person is sick or on leave, everyone waits. Entexia Knowledge Base transfers that knowledge into a living system maintained by the entire team.

Knowledge Base module features

A wiki maintained by the team, not just IT.

FeatureBenefit
WYSIWYG editing
Editing like in Word — no markdown syntax. Any employee can write an instruction without technical knowledge.
Version history
Every change logged with author and date. Compare versions or revert to a previous one.
Full-text search
Searches inside every article's content, not just the title. Find content in seconds, not minutes.
Categories and tags
Hierarchical structure by department. Tags for quick filtering between procedures, forms, and instructions.
Permission levels
Three levels: visible to all employees / department only / admin only. Individual articles can be public for external viewers.

Knowledge Base in the Entexia ecosystem

Create an instruction → Documents for formal versioned files → employees in Trainings know where to find instructions → Tasks with a link to the instruction — always current knowledge base, not a static PDF.

Frequently asked questions

Does the knowledge base integrate with documents?
Yes, but they are different systems: the knowledge base is for living, editable instructions and procedures; the Documents module is for formal, versioned files with e-signatures. You can link knowledge base content to a document.
How many articles can I store?
Unlimited. Full-text search works fast regardless of the number of articles.
Is the knowledge base visible to external users?
Not by default — the knowledge base is an internal portal. With the 'public' setting you can share individual articles with external parties (customers, partners).
