What are the costs of poor inventory management?

Poor inventory management has two cost forms that pull in opposite directions. Too much stock: frozen capital, storage costs, risk of obsolescence. Too little stock: lost sales, dissatisfied customers, emergency orders at premium prices.

In companies under 50 employees, the most common problem is traceability: who took what, when, and for what purpose. Without that trail, inventory records are always one step behind the actual state.

When is Excel not enough for inventory?

Excel is enough when you have fewer than 100 distinct items, one person updates inventory, and there's no concurrent access. Once you exceed any of these boundaries, errors become systematic.

The typical breaking point occurs when a company opens a second storage location or when multiple people start managing stock. At that moment, synchronising Excel sheets costs more than a dedicated system.

What are the minimum elements of a good inventory system?

A good inventory system has six functions: current stock view by item, automatic alerts at minimum stock levels, tracking of receipts and issues (when, who, why), item location (shelf, space), real-time stock value, and a movement report for tax purposes.

Without these six functions, a system isn't a system — it's a better Excel.

How to start with digital inventory tracking?

Start with a physical count: count and record all items with current quantities. That's your starting point. Then define minimum stock levels for each item (when does it trigger a reorder?) and maximum levels (when is the warehouse full?).

Once you have those parameters, any digital system is better than Excel. Early practical steps: label items with barcodes, introduce scanners or a mobile app for receipts and issues. Changing team habits is a bigger challenge than implementing the system.
